FAQs

How far in advance should we start planning an exhibition stand?

For a large bespoke exhibition stand, around six months gives the best scope for design development, approvals, supplier availability and sensible production costs. Smaller or simpler stands can often be delivered faster. If your deadline is closer, talk to us early: we’ll identify what is achievable and where decisions need to be simplified.

Can you deliver exhibition stands outside the UK?

Yes. We design and deliver exhibition stands across the UK and Europe. For events further afield, we will usually manage delivery through trusted local venue and production partners rather than shipping a full stand internationally. This can reduce freight, customs and travel costs while keeping OSP responsible for the overall booth experience.

Do you provide exhibition stand storage between events?

Yes. We can store reusable exhibition stand components, graphics and equipment between events. We’ll also help you weigh up whether buying and storing assets is genuinely more economical than hiring for each show, based on your event schedule, stand sizes, transport and likely reuse.

How do you manage venue rules, technical approvals and exhibition deadlines?

We review the exhibitor manual early and manage the relevant drawings, risk information, utilities, rigging, build regulations and submission deadlines with the organiser or venue. Requirements vary by show, so early technical checks help prevent redesigns, late fees and avoidable problems during installation.

Can you provide AV, LED walls and interactive technology for exhibition stands?

Yes. We can manage all AV for your exhibition stand, from TVs and touchscreens to LED video walls, sound and interactive installations. For specialist requirements, we source current, suitable equipment through trusted AV partners rather than limiting the solution to kit we happen to own, while remaining your single point of contact.

Can you reuse or adapt an existing exhibition stand for future events?

Yes. We often design with reuse in mind, using structures, furniture, AV and content that can be reconfigured for different footprints. If you already own a stand, we can review what is worth retaining, what needs refreshing and what can be hired locally. This can reduce waste and improve the return on your exhibition budget.

How do you design an exhibition stand that attracts the right visitors?

We design around the behaviour you want to create. That means considering sightlines, messaging hierarchy, entrances, dwell time, demonstrations, meeting space and calls to action rather than simply filling a footprint. We’ll challenge the brief if a feature looks impressive but does little to help visitors understand, engage or take the next step.

Can you manage the whole exhibition stand project from design to installation?

Yes. OSP can manage exhibition stand design, technical drawings, production, graphics, AV, venue services, logistics, installation and breakdown. You have one team coordinating the detail and liaising with organisers and suppliers, which reduces the number of moving parts your internal team needs to manage.

Should we hire or buy our exhibition stand?

It depends on how often you exhibit, how consistent your stand sizes are and how much of the design can be reused. We can compare the cost of hiring against buying, storing and adapting a stand across your event programme, so you can make the decision on total value rather than the cost of one show.

How do you decide what type of exhibition stand we actually need?

We start with what the stand needs to achieve, not a predetermined build system. We look at audience, visitor flow, demonstrations, meetings, content, reuse, venue rules and budget, then challenge anything that is adding cost without adding value. The result might be a bespoke exhibition stand, a modular solution or a smarter reuse of assets you already own.
